How to Use a Scanner
Introduction
A computer scanner is a basic technology piece that allows a user to input information into a computer system. This is any information that is not standard for a computer. Information pieces include documents and pictures. A computer system utilizes optical character recognition (OCR) software to read these items. This software transforms a document into a computer text file. Once uploaded to the system, a user has the ability to manipulate the document in any way desired.
A document scans into the system and appears as if it has been hand-typed into the computer. Pictures scan into the system and open a window of creative sharing opportunities. Brightness and contrast settings are adjustable if either produces unacceptable results. Operating processes vary from one computer program to the next. The primary function remains the same. If a user is not satisfied with an existing OCR program, upgrades are available.
Documents and pictures upload to the computer via a scanner in two basic ways. One is to utilize the OCR software on the computer operating system. Another is to follow the easy steps presented in the Microsoft scanner and camera wizard. Other operating systems will have similar wizards available.
Materials Needed:
Documents or Pictures to be scanned
Optical Character Recognition (OCR) computer scanning software
Personal computer
Scanner that is connected to personal computer
Instructions
Turn the personal computer and connected scanner on.
Place the document or picture face down on the glass. Make sure picture image or document text faces the glass. Make sure placement is straight. Most scanners provide a ruler guide on one or both sides of the glass.
Open the associated OCR scanning software program on the computer.
Click on the option “select” or related item from the file menu.
Select computer scanner device as source.
Select resolution settings between 200 and 400 dots per inch. This may be the default setting for the scanner. If that is the case, do nothing or click “ok” if prompted. When prompted, select line art for image type or scan mode.
Select Prescan. This is a preview of what the document or picture will look like once scanned.
Review the document or picture presentation. If nothing appears as desired, make the necessary changes. Text problems are fixable through playing with the resolution.
Select the portion of the document or picture to scan.
Select scan.
Repeat steps #6 through #11 for each document page or picture desired.
Once scanned, the software should recognize the item and convert it to a text or picture image. If not, select “recognize item” or similar option on menu.
Save the newly created file to the computer.
For documents, open the new file in a word program.
Run spell check and save with any changes made.
For pictures, open a picture program.
Make any changes and save.
Document or picture is now available to share with business associates or family and friends as needed.
